Reports and compliance
Turn business records into useful reports: dashboard, profit, tax, and Clause 44
Understand how timely invoices, expenses, payments, and vendor details improve dashboards, business reports, tax summaries, and CA review.
A business report is useful only when it helps someone make a decision. The dashboard may show that outgoing cash is rising, but the expense breakdown explains where. A ledger may show a large receivable, but the customer statement explains which invoices remain open.
Ovilo Invoice connects daily records to dashboards and reports so you can move from a summary to the underlying transaction.
## Begin with reliable source records
Every report depends on the information entered before it:
- Customer invoices and their status
- Payments received and invoice allocation
- Vendor bills and due dates
- Expenses and expense accounts
- Payments made and bill allocation
- Item tax settings
- Customer and vendor GST details
If a transaction is missing, duplicated, dated incorrectly, or attached to the wrong party, the resulting report can also be misleading. Treat clean data entry as the first reporting step.
## Use the dashboard for signals, not final answers
The home dashboard provides a quick view of sales, expenses, net profit, receivables, bills due, customers, items, recent invoices, and subscription health.
Use these numbers to identify what needs attention, then open the related module. For example:
- Open invoices to review a receivable increase.
- Open expenses to understand outgoing movement.
- Open inventory to investigate stock value or low-stock attention.
- Open reports for a date-based comparison.
The [Home dashboard guide](/help/core/dashboard) explains the available shortcuts and recent activity.
## Choose the report that answers the question
Different questions need different reports:
| Business question | Useful report or view |
| --- | --- |
| How are sales moving? | Sales Overview |
| Where is spending increasing? | Expense Breakdown |
| Is the business profitable for this period? | Profit and Loss |
| What tax values are recorded? | Tax Summary |
| Which customer balances remain? | Ledger Statement |
| What happened on a specific day? | Day Book |
| Which account contains a transaction? | Account Transactions or General Ledger |
Select the period before interpreting a result. A month, quarter, financial year, and all-time view answer different questions.
## Review AI-supported insights carefully
AI-powered reports can summarise figures, identify patterns, and answer questions about invoices, cash flow, expenses, or report data. Use suggested prompts or ask a specific question in the Intelligence Desk.
Treat the response as a business review aid. Verify important amounts against transactions and involve your accountant for accounting, audit, or tax decisions. The [AI-powered reports guide](/help/business/ai-reports) lists report and export options.
## Export the evidence behind a discussion
PDF works well for a fixed, shareable report. Excel is useful when an accountant or team member needs to filter, compare, or add working notes. Before sending either format, confirm the period, filters, status treatment, and generation date.
When a summary looks unusual, return to the source records rather than editing a report outside the system and forgetting the cause.
## Prepare a Clause 44 working report
Clause 44 of Form 3CD requires expenditure classification for tax audit reporting. Ovilo's Clause 44 CA Report prepares a GST-wise expenditure working view from bills, expenses, and vendor details.
A practical workflow is:
1. Open **Business > Clause 44 CA Report**.
2. Choose the current financial year, previous financial year, all dates, or a custom period.
3. Refresh the source data.
4. Review registered and unregistered GST classifications.
5. Check source records and the vendor-wise breakup.
6. Search by vendor, GSTIN, or reference when investigating a record.
7. Download the CA PDF after reviewing the record count and classifications.
This is a working report, not an automatic tax filing. Final classification and filing decisions should be verified by a qualified professional. See the [Clause 44 CA report guide](/help/business/clause-44) for the current controls.
## Create a monthly reporting rhythm
At the end of each month:
- Complete missing sales and purchase entries.
- Record and allocate customer and vendor payments.
- Review draft, void, paid, and partially paid statuses.
- Check customer and vendor GST details.
- Compare dashboard signals with detailed reports.
- Export the reports needed for internal or accountant review.
- Write down the decisions made from the results.
The final step matters. Reporting creates value when it changes an action: following up on a receivable, controlling an expense, correcting a tax record, replenishing stock, or planning cash for upcoming bills.
